Terms and Conditions

The following are the general policies and terms and conditions which apply to all our programmes, unless otherwise specified, to ensure the quality of our programmes, their administration and the safety of the participants and staff who take part in them. Please take a moment to review our policies and terms and conditions below.

1. Camps Administration

Applications and payment

  •  Places are allocated on a first-come-first-served basis.
  • Camp fees need to be fully paid upon enrolment. AISL Outdoor reserves the right to exclude participants from camps due to non-payment of fees.
  • You are asked to inform the office in writing should you wish to make any changes after the application is submitted. Please see below for our policies on withdrawals and change of booking.
  • Please check the time, date, venue and the prerequisites carefully as outlined on the schedule.
  • The booking is personal to the registered participant and non-transferable.

 Parent / guardian Communication

  • Booking confirmation will be sent to you by email. Camp reminders will be sent to you 2 weeks before the first day of camp. Please regularly check your email, including your spam folder, to ensure you receive our messages. If you are not receiving our emails, check your junk mail and confirm that we have updated your contact details. AISL Outdoor shall not be liable for any missed sessions arising from a parent’s or guardian’s failure to review, access or update their contact information, or to check emails sent by AISL Outdoor, provided that AISL Outdoor has sent such emails to the email address last provided by the parent or guardian.
  • To ensure swift communication during emergencies, participants must provide at least one emergency contact with a local phone number. In the event of an accident, we will immediately call this number. If we cannot reach you, we will send an email to notify you of the incident.
  • If you're unsure about the contact details you provided, please email us at info@aisloutdoor.com to update your information. Having accurate contact details is crucial for our Child Protection Policy. Remember, opting out of email communication may result in missing essential information about your child’s programmes.

2. Policy on Withdrawal, Absence, Cancellations

Cooling Off period

  • Participants who successfully enrol in a camp are entitled to a cooling-off period of 7 days from the date of purchase. For example, if a purchase is made on 1 July at 4:00 PM, the cooling-off period will end on 8 July at 4:00 PM. This period allows participants the opportunity to reconsider their enrolment and request a refund if necessary.
  • Please note that the 7-day cooling-off period applies only until 29 April 2026 and will not apply to any requests submitted after this date. All requests for withdrawal or changes to bookings must be submitted in writing to info@aisloutdoor.com.
  • For all approved refunds, a 3% administrative and system processing fee will be deducted from the total amount paid. In cases where the camp or programme is cancelled by AISL Outdoor, the refund processing fee will be waived, and the full applicable refund amount will be borne by AISL Outdoor.

Withdrawal

Withdrawal requested on or before 29 April 2026

During the 7-day cooling-off period, 100% refund will be provided. (subject to a 3% administrative and system fee deduction).

 After the cooling-off period: 80% refund. (subject to a 3% administrative and system fee deduction).

Withdrawal requested between 30 April and 29 May 2026: 40% refund will be provided.(subject to a 3% administrative and system fee deduction).

Withdrawal requested on or after 30 May 2026: All fees paid are non-refundable 

Withdrawal requested on or before 29 April 2026

Withdrawal requested on or after 30 April 2026: all fees paid are non-refundable 

Change of Booking 

Summer and Winter Camp:

  • Each booking may be changed once only, and must remain within the same camp period
  • All change of booking requests must be submitted on or before 1 June 2026, subject to availability
  • Any price difference must be paid in full; no refund if the new camp fee is lower
  • AISL Outdoor reserves the sole discretion to make decisions regarding the change of booking.

No change of booking will be offered.

Withdrawal, absence, early departure after a camp commences

No refund or change of class will be provided, irrespective of the reasons after the camp commences. This policy applies to all cases of withdrawal.

Behaviour of Participants

In the event of a camper's suspension or dismissal from the camp due to instances of bullying, no refund will be provided. This policy is established based on fairness, underlining the significance of exhibiting respectful conduct and the ramifications associated with engaging in bullying behaviours. AISL Outdoor reserves the right to determine, at its sole discretion, whether conduct amounts to bullying or behaviour warranting suspension or dismissal.

Inclement Weather & other force majeure

Under inclement weather conditions (e.g. Red/black rainstorm signals, T8 or above) or other force majeure events, no refund will be provided.

No refund will be provided.


Cancellation due to insufficient participants

  • If the camp does not reach the minimum number of participants, as indicated on the registration website, two weeks prior to the camp start date, AISL Outdoor reserves the right not to organize the camp. In such cases, a full refund will be provided to all registered participants, or such participants may apply to join another camp within the same camp period.

Change of camp dates, times and venues

  • AISL Outdoor reserves the right to change camp times, venues and dates at our discretion. Parents will be notified of any changes in advance as soon as possible. If the participant is not able to join a reorganised camp which may be held in a different timeslot or in a different location that he/she originally applied for, a full refund will be offered to all registered participants, or such participants may apply to join another camp within the same camp period.

Request Refund

  •  If you wish to make a refund and withdrawal request, please email us to obtain a refund form. You are required to submit the completed form through email within 14 days from the date it is provided to you. If we do not receive the completed form within this 14-day period, your request for a refund will be deemed forfeited. 
  •  Refund will be made within 60 working days after we receive a properly completed and signed refund application form from the participants requesting the refund, along with valid supporting documents.
  •  Refunds requested by participants may have any associated bank charges, particularly for remittances to overseas accounts, deducted from the refund amount.
  • All refund requests are subject to the sole decision of AISL Outdoor.

3. Parent and Guardian Responsibilities

  • Parents and/or guardians are responsible for the transportation, pickup and drop-off arrangement of the participants to and from the programme venue and the travelling arrangements including visa applications (if applicable) of the participants.
  • Camps will finish on time. Please ensure you pick up your child promptly at the end of the camp. If your child is self-dismissed, you are required to submit the self-dismissal authorization form to us before the first day of camp. Without receiving the form, we couldn’t allow your child to leave due to our safeguarding policy, and costs incurred due to such an arrangement will be charged. AISL Outdoor reserves the right to determine whether a child may self-dismiss, regardless of whether an authorization form has been provided, to ensure the child's safety.
  • You are also required to provide the contact details of the person who is picking up your child to us. 

4. Safety

  • Participants are expected to abide by the regulations of the facility. This will be strictly enforced, and we reserve the right to ask anyone who does not abide by the rules or behaves unreasonably to leave immediately. No refund or credit will be available under such circumstances.
  • AISL Outdoor, our coaches and our teachers are not responsible for any injury to participants, or damage or loss of property because of participation in our camps, except where such injury, loss or damage is directly caused by our proven negligence or wilful misconduct.
  • By enrolling, parents/guardians consent to AISL Outdoor arranging emergency medical treatment where deemed necessary and agree that any related costs shall be borne by the parent/guardian.

5. Information Policy

  • Information provided by you on your application form will be used for the purposes of processing your application for enrolment; and administration after enrolment.
  • The data we collect will be kept confidential. You have the right to obtain access to and request correction of any information concerning you and your child held by us. Requests for such access should be made in writing.
  • We reserve the right to amend our policies from time to time.

6. Child Safeguarding Policy

AISL Outdoor have a duty of care towards children in their charge and ensure always that the safety and protection of the child comes first – whether presented with an actual hazard, or in relation to any form of abuse. Each coach and teacher shall comply with AISL Outdoor’s safeguarding requirements. Any matters of child protection or safety should be raised with us by email at info@aisloutdoor.com.

7. Code of Conduct

We value the relationship we have with our parents and participants, and strive to treat one another with respect and dignity, and offer support where needed. In turn we have an expectation that parents and care-givers of children attending any of our programmes follow the same principles

  • respect the confidentiality of the situation and the privacy of individuals involved
  • respect the beliefs, cultures and opinions of others even if you disagree

Support

  • follow the procedures and practices of the programme and if you disagree with something, talk to the coach/teacher first

Ethical Communication

  • use appropriate communication skills
  • stay calm and relaxed
  • use non-judgmental, respectful language
  • seek advice whenever appropriate

Ethical Conduct

We ask that parents and caregivers and participants please

  • don’t smoke anywhere on school premises
  • don’t possess, use or be under the influence of alcohol or illegal drugs on school premises
  • don’t harass or abuse any person or use profanity on school premises or sports facility
  •  do not take any photographs or video/audio recordings without AISL Outdoor’s permission.

Participants should

  •  follow the rules in the camp
  • behave and dress appropriately 

8. Photos / Videos Guidelines

  • AISL Outdoor coaches, teachers and staff may occasionally use cameras and take photos and videos during camps for use in promotional publications and on our website.
  • These images/videos will not be passed onto third parties.
  • If parents do not wish us to use photos that include their child, please advise us on the application form or inform us at info@aisloutdoor.com. Requests to withdraw consent will be applied on a forward‑looking basis. AISL Outdoor is unable to remove previously published materials already in print or distributed.

9. Insurance Coverage

  • AISL Outdoor and its Operations Providers are responsible for the public liability insurance coverage. This specific third-party risk insurance is structured to offer compensation in the event of financial losses stemming from unfortunate incidents involving the death or bodily injury of a third party. These incidents are directly related to shared areas and facilities within the premises, including but not limited to elevators, staircases, fire service installations, and other communal amenities.
  • We strongly recommend that our participants purchase their own personal travel or personal accident insurance coverage at their own expense. This proactive step is instrumental in ensuring comprehensive protection for their individual interests and overall well-being during their engagement with our services. This supplementary insurance coverage serves as an additional layer of security and offers a safeguard against unforeseen circumstances and provides a vital safety net for our participants.

Inclement Weather Procedures

Hong Kong Programme

In the event of adverse weather conditions or other extreme circumstances in Hong Kong, camp arrangements may be cancelled, suspended, shortened, or adjusted in accordance with government regulations or official announcements if the camp cannot proceed as scheduled. Upon improvement of weather conditions, the camp will resume promptly without postponement or supplementary sessions.

Parents are advised to stay informed through official announcements on radio, television, or the “GovHK Notifications” mobile application during rainstorms or other extreme weather conditions. Reference may also be made to updates issued by the Hong Kong Observatory.

No refund will be provided for any cancellation, suspension, or adjustment made under such circumstances. Any losses, expenses, or inconveniences arising therefrom, including but not limited to transportation, accommodation, or personal arrangements, shall be borne solely by the parents or guardians.

When Tropical Cyclone Warning Signal Pre- No. 8 / No. 8 or above is issued before 6:15 am 

Camps are to be suspended. Camps will resume on the following day if any signal is cancelled.

When Amber Rainstorm Warning Signal is issued 

Camps are to operate as usual unless advised otherwise. 

When Red/Black Rainstorm Warning Signal or extreme weather conditions is issued from 6:15 am 

Camps are to be suspended. Camps will resume on the following day if any signal is cancelled.

 

After the camp commences:

If there is heavy rain and thunderstorms, outdoor activities will be moved indoors for the safety of the participants. If there is heavy rain or other extreme weather that prevents the activities from proceeding as planned, we will shorten the day's schedule or dismiss early based on the actual situation.

Mainland China & Overseas Programme

For camps in Mainland China and overseas, AISL Outdoor will adhere to local government orders and policies concerning public health and inclement weather situations. We reserve the sole discretion to determine whether the event will proceed, prioritizing the safety, health, and well-being of all participants.

Precedence of English Version

The English version of the Terms and Conditions shall prevail in case of any discrepancy or inconsistency between the English version and its translation in Chinese.
